A policy page answers the questions your front desk otherwise answers on the phone, usually after something has gone wrong. To see what good salons actually put in writing, I read the published policies of 124 top-rated independent salons and counted each rule. The cancellation and no-show numbers have their own page, salon cancellation policy. This one covers everything else.

How often each policy shows up

Most salons don't cover every topic, so each count below is out of the full 124.

Late arrivals

43 salons named a grace period. 32 said 15 minutes, 8 said 10, 2 said 20 and 1 said 25. The median was 15 minutes. After the grace period, the usual consequence is a shortened service, a reschedule or a charge, and policies that spell out which one get fewer arguments at the desk.

Redos and adjustments

44 salons stated how long a client has to ask for a free fix. 25 said 7 days, 7 said 14 days, 4 said 3 days, and a handful said 1, 2, 5 or 10 days. One said the client has to raise it before leaving the salon. The median was 7 days, and two of the 7-day windows counted business days only.

A redo window is the policy that protects your reviews. A client who knows she has a week to come back for an adjustment tends to call you before she posts.

Refunds and retail returns

Services: 30 salons addressed refunds and 29 said no refunds. One said case by case. None of the 124 offered refunds on services. The redo window is what they offer instead.

Retail: 32 salons covered product returns. 22 gave a return window: 14 days at 12 salons, 30 days at 6, 7 days at 2, and 10 and 60 days at one each. The median was 14 days. The other 10 took no returns, gave exchange or store credit only, or took back defective items only.

Deposits and cards on file

37 salons said they take deposits. Only 9 of those required one for every booking. 15 asked for deposits on extensions, color corrections or long services, 4 on new clients only, and the rest didn't say which. 5 more took a deposit only after a client had missed an appointment.

37 salons required a card on file for every booking, 4 for some clients or services, and 3 only after a missed appointment. These two rules are the teeth behind a cancellation fee: without a card or a deposit, the fee is a request.

Children, payment and tipping

Children and guests: 22 salons addressed it. 13 said no children or extra guests unless they're booked for a service, 4 allowed them with supervision, 3 discouraged it and 2 kept them in reception.

Payment: 19 salons wrote about payment. The most common rule was no checks (6). Others, at one salon each, added a card surcharge or service fee (3 percent, 3.5 percent, 10 percent or a flat $2.85), went cashless, or asked for exact change. Card surcharges are regulated by card network rules and some state laws, so check before you add one.

Tips: 14 salons mentioned tipping. 8 said tips can't go on a card and asked for cash or a payment app, and 6 said card tips were fine. None said tips were included in the price.

A policy page template

Fill in the brackets. The defaults shown are the most common choices in the 124 policies above, not legal advice, and your own state's rules and your booking system's settings come first.

Booking. We hold every appointment with a card on file. [Services over [time] or [extensions, color corrections] need a deposit of [amount], applied to your service.]

Running late. We can wait up to [15] minutes. After that we may shorten your service or move you to the next opening so the clients after you aren't kept waiting.

Cancelling. Please give us [24] hours' notice. See our cancellation terms for fees.

Not happy with your result? Tell us within [7] days and we'll adjust it at no charge. Services aren't refundable, so this is how we make it right.

Products. Unopened products can be returned within [14] days with a receipt.

Children and guests. To keep the salon calm and safe, please bring only the people who have an appointment.

Payment and tips. We accept [cards, cash, payment apps]. [Tips can be added to your card / Tips are cash or [app] only.]

Put the policy where clients actually see it: on the booking confirmation, on the website, and at the desk. A rule that only lives on a hidden page doesn't help anyone at checkout.
